Terms & conditions

These terms form the agreement between ScoutWithIn and the business that opens a workspace, and they apply to everyone who signs in to it.

Last updated · 1 August 2026

01

The agreement

By creating a workspace or signing in to one, you agree to these terms. If you accept them on behalf of a company, you confirm you are authorised to bind that company. If you do not agree, do not use the service.

02

Accounts and roles

  • Each person must use their own account and keep their credentials confidential.
  • Workspaces have three roles — founder, manager and employee — and each role sees only what it is permitted to see.
  • The founder is responsible for who they invite, the roles they assign, and removing access when someone leaves.

03

Your content

You keep ownership of everything you upload: CVs, project write-ups, requirements and validated skills. You grant ScoutWithIn the limited licence needed to store, process and display that content in order to run the service for you. You confirm you have the right to upload documents about your colleagues and have told them it is happening.

04

Acceptable use

  • Do not upload content you have no right to share, or special-category data you do not need.
  • Do not attempt to access another workspace, bypass role permissions or probe the platform.
  • Do not resell, scrape or reverse engineer the service.
  • Do not use ScoutWithIn as the sole basis for a dismissal, promotion or pay decision.

05

AI output and human validation

Skill suggestions, readiness scores and use / develop / hire recommendations are decision support, not decisions. Every AI suggestion is unvalidated until a human approves it, and every recommendation shows the reasoning and the evidence behind it. You remain responsible for the employment decisions you make.

06

Availability and changes

We work to keep the service available, but we do not guarantee uninterrupted access. We may change features, and where a change materially reduces functionality you rely on, we will give reasonable notice. Demo workspaces are shared, reset periodically and must not hold real data.

07

Liability

To the fullest extent permitted by law, ScoutWithIn is not liable for indirect or consequential loss, lost profits, or hiring decisions made using the platform. Nothing in these terms limits liability that cannot lawfully be limited.

08

Termination

You may stop using ScoutWithIn at any time and delete your account from Settings. We may suspend access where these terms are seriously or repeatedly breached. On termination, workspace data is deleted or exported at the controller's request.
