Privacy policy

ScoutWithIn is a skills intelligence platform for small and medium-sized businesses. When your employer creates a workspace, they are the data controller for the people data inside it and ScoutWithIn acts as the data processor, handling that data only on their documented instructions.

• Account data. Name, work email, job title, optional profile photo, and the role assigned to you inside the workspace.
• Evidence documents. CVs, project write-ups and notes uploaded by a manager or by you, plus the text extracted from them.
• Derived skills data. Suggested skills, levels, confidence scores and the verbatim snippet each suggestion was drawn from.
• Activity data. Validation decisions, requirement changes and recommendation runs, recorded in the workspace activity ledger for auditability.
• Skills Buddy conversations. Stored privately against your own account.

We process this data to run the service your employer asked for: turning evidence into a skills map, letting a human validate every suggestion, and producing use / develop / hire recommendations against defined requirements. We do not use your workspace content to train third-party foundation models, and we do not sell data to anyone.

Skill extraction and Skills Buddy responses are generated by large language models accessed through our AI gateway. Only the text needed for the task is sent, it is not retained by the model provider for training, and every AI suggestion is marked as unvalidated until a human approves it. No employment decision inside ScoutWithIn is made automatically — a person always confirms.

• Employees see their own profile, their own evidence and their own Buddy chats.
• Managers see the people and evidence in their workspace so they can validate skills and plan requirements. They cannot read Skills Buddy conversations.
• Founders additionally see workspace settings, the full ledger and exports.
• Access is enforced at the database level with row-level security, not just in the interface.

Workspace content is retained for as long as the workspace is active. You can delete your own account from Settings, which permanently removes your profile, avatar, role assignment and Skills Buddy history. Evidence that belongs to the employer's workspace record is removed on the controller's instruction. Backups roll off within 30 days.

Depending on where you live you may have the right to access, correct, export, restrict or erase your personal data, and to object to certain processing.
